Landscaping Quote Form Template — Price by Area, Surface and Scope

Area × surface rate, adjusted by clearance and scope, with irrigation and waste priced as real line items. Best when the garden size is known but the design is not.

Overview

A garden quote has two halves. The measurable half is the surface area and the work per square metre; the judgement half is the design, the soil and what is already growing there. A form can price the first half and frame the second, which is enough to stop a visitor from expecting a full redesign at a lawn-mowing rate.

The mistake most landscaping pages make is asking for a free-text description and replying with "we will visit to quote". That is not a quote, it is a callback request. A priced form gives a defensible range for the work the visitor can describe, and names the parts only a site visit can settle.

Best for

Landscapers and garden designers who quote a project from a site visit but want the visitor to arrive with a realistic budget and the right expectations.

The ClickoBook form builder showing sections with Required and Conditionally shown badges, the structure a landscaping quote uses for surfaces and scope
Surfaces and scope live in separate sections, so the conditional questions only appear for the work the visitor actually chose.

The field list

Every question below earns its place: it changes the price, the visit or the crew. If a question does none of the three, leave it out.

Field Type Why it is asked
Garden size (m²) Number The per-unit basis for every surface rate. Ask for the approximate area and say the final figure is measured on site.
Surface to work on Multi-select Lawn, borders, gravel and decking carry different rates. Multi-select lets a real garden with several surfaces be priced honestly.
Current condition Select (single) Clearance is the hidden cost. An overgrown garden takes a day before the actual work starts.
Design scope Select (single) Refresh, redesign or full build. The scope decides whether the price is a rate per square metre or a design project.
Planting included? Yes / No Plants are a material cost, not labour. Hiding them inside a per-metre rate is how quotes lose money.
Irrigation needed? Select (single) None, a hose point or a full system. The system is a flat cost that should not be multiplied by the area.
Waste removal Yes / No Green waste has a disposal cost. Naming it prevents the "where does it all go?" conversation after the job.
Access to the garden Select (single) Street level, side gate or through the house. Access changes the labour per square metre more than most visitors expect.
Start window Select (single) This month, the next three months or flexible. Peak-season work costs more and the visitor can choose the saving.
Garden photos File upload (optional) Two photos answer the slope, the drainage and the access questions faster than a paragraph.
Site postcode Text Travel zone and a sanity check on the local climate and soil type. Never ask for the full address at quote time.

Price rules

Each row is one option in the builder with the operation attached to it. The example column is the arithmetic you should see in the live total; use it to check your own configuration before publishing.

Option Rule Worked example
Lawn renovation +12 per m² 80 m² × 12 = 960
Border preparation +9 per m² 30 m² × 9 = 270
Gravel or decking area +25 per m² 20 m² × 25 = 500
Overgrown clearance × 1.20 960 × 1.20 = 1,152
Bare-soil planting +15% 1,152 × 0.15 = 172.80
Full design project +18% 1,152 × 0.18 = 207.36
Plant supply allowance +22 per m² 30 m² × 22 = 660
Irrigation system +850 flat 850
Green waste removal +95 flat 95
Restricted side access +10% 1,152 × 0.10 = 115.20
Peak-season start +8% 1,152 × 0.08 = 92.16
Photo review before survey included no extra charge

The amounts are illustrative, not a price list. Replace them with your own cost base and currency before publishing — and keep the order of the rules, because a percentage applied to the wrong subtotal changes every total downstream.

Conditional logic

Conditional rules keep the form short without losing the information. Add them in the order below and test each trigger before you publish.

If Design scope is refresh

Then Hide "Planting included?" and show "existing plants retained". A refresh keeps the planting scheme; asking about new plants misreads the job.

If Surface includes gravel or decking

Then Show "hard-surface area (m²)" and price it separately. A hard surface cannot share the lawn rate.

If Irrigation needed is None

Then Hide the system-size question and the flat irrigation fee. Asking for details of a system nobody wants wastes the visitor’s attention.

If Access is through the house

Then Show the protection note and apply the restricted-access percentage. Moving soil through a hallway is a different job from a side gate.

If Garden size is over 400 m²

Then Replace the instant estimate with "book a site survey". Above that size the per-metre rate stops being a fair proxy.

If Waste removal is No

Then Hide the green-waste question. The visitor has said they will deal with it.

Rebuild it in Clickobook

This is the build order we use. It ends with two test submissions, because a priced form is only correct when a total you calculated by hand matches the one on screen.

  1. 1

Create a "Your garden" section with size, surfaces and current condition. Put the size field first: every later rate depends on it.

  2. 2

Add the design-scope question before planting and irrigation. Scope decides which of those questions should appear at all.

  3. 3

Paste the per-metre rules on the surface options and the flat rules on irrigation and waste. Keep percentages for clearance, access and season so the base rate stays readable.

  4. 4

Add the conditional rules in the order listed and test a refresh of a maintained lawn against a full redesign of an overgrown garden. The two paths must look like different forms.

  5. 5

Attach photos and postcode last, both optional. Explain that photos shorten the survey rather than replace it.

  6. 6

Submit one small job and one above 400 m². The second must stop offering an instant estimate and offer the survey instead.

Three things that make this template convert

Show the maintenance plan next to the project price. A garden that is redesigned this month needs upkeep next month, and that is a subscription you can sell at the same time.

Name what the price excludes: tree work, drainage and planning permission. A range with a clear boundary survives the site visit.

Use the photos to decide whether the estimate needs a wider range. A tidy lawn and a building site should not display the same confidence.
