Wedding Photography Quote Form Template — Hours, Coverage and Album
A core coverage price plus hourly extensions, then second shooter, album and travel. Best when couples compare three photographers on the same evening and need a number they can trust.
Overview
Wedding photography is the clearest case of a service bought on emotion and compared on price. Couples enquire to several photographers in one evening, and the reply that contains a clear package, a free date and a one-step way to hold it wins the conversation before the consultation happens.
The quote has to be built from the three facts a couple already knows: the date, the number of coverage hours and whether they want a second shooter or an album. Everything else belongs in the consultation, not in the arithmetic.
Best for
Wedding photographers and photo-and-video duos who sell coverage by hours and add-ons, and who need the date held with a deposit before the consultation.
The field list
Every question below earns its place: it changes the price, the visit or the crew. If a question does none of the three, leave it out.
| Field | Type | Why it is asked |
|---|---|---|
| Wedding date | Date | The scarcest resource in the business. Asking first tells the couple whether their date is even in play. |
| Venue and location | Text | Travel distance and the logistics of the day both start here. Keep it loose at quote time. |
| Coverage hours | Select (single) | Six, eight, ten or twelve hours. The single biggest driver of the price, and the one couples understand best. |
| Ceremony time | Time | Determines whether coverage runs into the evening and whether an extra hour after midnight is needed. |
| Guest count | Number | A large wedding changes the second-shooter recommendation and the time needed for group photographs. |
| Second shooter | Yes / No | A second angle costs money and must be chosen, not assumed. Large weddings should be nudged toward it. |
| Engagement shoot | Yes / No | A separate session with its own price and its own availability. |
| Album option | Select (single) | None, one fine-art album or an album plus a parent copy. Albums are products, not a line in the coverage fee. |
| Travel distance (km) | Number | A per-kilometre rule beyond a local radius. Destination weddings are priced separately. |
| Getting-ready location | Text (optional) | Two locations on the morning of the wedding change the start time and the travel plan. |
| Timeline notes | Text (optional) | Ceremony, speeches and first dance times let you sanity-check the coverage hours before the call. |
| Venue or mood-board photos | File upload (optional) | A photo of the venue answers the light and space questions that a description cannot. |
Price rules
Each row is one option in the builder with the operation attached to it. The example column is the arithmetic you should see in the live total; use it to check your own configuration before publishing.
| Option | Rule | Worked example |
|---|---|---|
| Core coverage (six hours) | +1,400 | 1,400 |
| Each extra hour | +150 per hour | 2 extra hours × 150 = 300 |
| Second shooter | +450 | 450 |
| Engagement session | +350 | 350 |
| Fine-art album (30 pages) | +480 | 480 |
| Parent album copy | +190 | 190 |
| Travel beyond 50 km | +0.60 per km | 120 km → 70 × 0.60 = 42 |
| Destination wedding | +18% | 1,700 × 0.18 = 306 |
| Off-season weekday | −10% | 1,700 × 0.90 = 1,530 |
| Raw files delivery | +220 | 220 |
| Hour after midnight | +225 | 225 |
The amounts are illustrative, not a price list. Replace them with your own cost base and currency before publishing — and keep the order of the rules, because a percentage applied to the wrong subtotal changes every total downstream.
Conditional logic
Conditional rules keep the form short without losing the information. Add them in the order below and test each trigger before you publish.
If Coverage hours is six
Then Hide the second shooter. Six hours rarely justifies a second angle, and offering it inflates a package the couple did not ask for.
If Guest count is over 150
Then Require the second shooter and show the group-photo note. One photographer cannot cover a large group and the couple at the same time.
If Album option is None
Then Hide the parent album copy. There is no album to copy.
If Ceremony time plus coverage crosses midnight
Then Show the hour-after-midnight fee. The price must reflect the extra hour before the date is held.
If Travel distance is over 200 km
Then Replace the instant estimate with "book a destination consultation". A long-distance wedding needs travel and accommodation in the conversation.
If Engagement shoot is No
Then Hide the engagement scheduling question. The couple has already declined it.
Rebuild it in Clickobook
This is the build order we use. It ends with two test submissions, because a priced form is only correct when a total you calculated by hand matches the one on screen.
-
1
Create a "Your wedding" section with date, venue, coverage hours and ceremony time. Date first, because an unavailable date ends the conversation.
-
2
Add the coverage-hours select with the core price on the six-hour option and an hourly rule on the extension question. Do not price hours as a single per-hour multiplier; the core package is not linear.
-
3
Add the add-on section with second shooter, engagement shoot, album and raw files. Each must be a choice, not an assumption.
-
4
Paste the travel rule and the destination percentage, then the off-season discount. Check that the discount applies to the coverage subtotal, not to the albums.
-
5
Add the conditional rules in the listed order and test a six-hour local wedding against a twelve-hour wedding with 180 guests. The second must force the second shooter and the extra-hour fee.
-
6
Connect the date field to your availability and submit one booking. The couple must not be able to request a date already blocked in your calendar.
Three things that make this template convert
Show the package as a starting point ("from 1,400 for six hours") and let the questions build the rest. A single all-in figure invites comparisons you cannot win.
Put the deposit next to the date, not at the end of the form. The date is what the couple is afraid of losing, and the deposit is what secures it.
Ask for the timeline before the call. It turns the consultation from information gathering into a conversation about the photographs.
