Moving Quote Form Template — Volume, Distance, Floors and Packing

A transport base plus distance, rooms and floor access, with packing and large items priced on top. Best for local movers who need a credible range before a survey.

Overview

Moving quotes are full of hidden assumptions. The customer hears a number for "a two-bedroom move"; the mover hears a number for a second-floor walk-up, a 300 km drive, a piano and a packing service the customer assumed was included. The gap between those two readings is where deposits get disputed.

A moving form fixes that by making the assumptions visible. Volume, distance, access and packing are four independent costs, and each one should be a question with a price attached. The visitor does not need a final invoice — they need to see why the range is the range.

Best for

Local and regional moving companies, man-and-van services and office relocation crews that quote from an inventory rather than a floor plan.

The Logic Rules screen in ClickoBook listing seven If/Then rules, the mechanism a moving template uses to hide floor fees when both addresses have an elevator
Conditional rules keep the form honest: an elevator at both ends removes the floor fee, and a long-distance move replaces the same-day option.

The field list

Every question below earns its place: it changes the price, the visit or the crew. If a question does none of the three, leave it out.

Field Type Why it is asked
Move type Select (single) A house, an apartment and an office have different inventories and different loading times.
Rooms to move Number The quickest volume proxy. One room is roughly one van load fraction, not one hour.
Distance (km) Number Local moves are priced by time; longer moves by distance. Ask for the postcode pair if you prefer to calculate it yourself.
Floor at origin / destination Number (two fields) Stairs are the single largest source of underestimated labour. Two fields, not one.
Elevator at origin / destination Yes / No (two fields) The fee only applies where there is no lift. Conditional pricing here prevents both over- and under-charging.
Packing level Select (single) None, boxes only, or full packing. Each level changes both the price and the number of crew needed.
Large or special items Multi-select Pianos, safes, pool tables and gym equipment need equipment and people. Price them individually.
Date flexibility Select (single) A fixed date costs more than a flexible one. Saying so lets the customer choose the saving.
Moving date Date Weekend and end-of-month surcharges are real. The date belongs in the quote, not in a follow-up call.
Inventory photos File upload (optional) A photo of the largest room is worth more than any description for confirming the van size.
Access restrictions Text (optional) Narrow streets, parking permits, delivery bays. One line avoids a failed arrival.

Price rules

Each row is one option in the builder with the operation attached to it. The example column is the arithmetic you should see in the live total; use it to check your own configuration before publishing.

Option Rule Worked example
Transport base (up to 40 km) 120 flat 120
Distance beyond 40 km +1.20 per km 200 km → 160 × 1.20 = 192
Rooms beyond two +35 per room 3 extra rooms × 35 = 105
Floor without elevator +15 per floor 2 + 3 floors × 15 = 75
Boxes only packing +180 flat 180
Full packing +35% of transport 312 × 0.35 = 109.20
Piano +180 180
Safe +120 120
Pool table +250 250
Gym equipment +90 90
Weekend move +10% 312 × 0.10 = 31.20
Same-day move (under 150 km) included no extra charge

The amounts are illustrative, not a price list. Replace them with your own cost base and currency before publishing — and keep the order of the rules, because a percentage applied to the wrong subtotal changes every total downstream.

Conditional logic

Conditional rules keep the form short without losing the information. Add them in the order below and test each trigger before you publish.

If Elevator is Yes at both addresses

Then Hide the floor fee entirely. Charging stairs that do not exist is the fastest way to lose a booking.

If Packing level is None

Then Hide the packing-materials question and the packing-day field. The answers cannot matter if nobody is packing.

If Move type is office

Then Show workstations, IT equipment and an after-hours option. Offices move around business hours, not around a Saturday.

If Distance is over 150 km

Then Hide the same-day option and offer overnight storage. A crew cannot drive 400 km and unload in one legal shift.

If Floor is above 3 without an elevator

Then Require a short video survey before the estimate is confirmed. At that height the labour estimate needs eyes.

Rebuild it in Clickobook

This is the build order we use. It ends with two test submissions, because a priced form is only correct when a total you calculated by hand matches the one on screen.

  1. 1

Create a "The move" section with move type, rooms, distance and the moving date. Put distance next to the date so the visitor understands that both affect availability.

  2. 2

Add an "Access" section with the four floor/elevator fields. Keep the origin and destination pairs side by side; they are read together.

  3. 3

Add packing level and large items in their own section, each with its price rule. These are the two lines customers most often assume are included.

  4. 4

Attach the elevator and packing conditional rules first, then the long-distance rule. Test a ground-floor move and a third-floor walk-up to confirm the floor fee appears and disappears correctly.

  5. 5

Add the inventory photo and access-notes questions as optional. They improve the survey without blocking the quote.

  6. 6

Publish, then submit one local move and one 300 km move. The long-distance page must show the overnight storage option and must not promise a same-day unload.

Three things that make this template convert

Quote a range and explain the two variables that move it: packing level and access. The customer can then choose what to change.

Take a deposit at booking, not at quote time. The deposit secures the date; the quote is still subject to the survey.

Show the van size implied by the room count ("3 rooms ≈ 1 large van"). It turns an abstract number into a decision the customer can sanity-check.

Other quote form templates

Roofing quote form

Area × material rate, adjusted by pitch and access, with removal and roof features priced per unit. Best when the final number depends on measurements the homeowner already knows.

Cleaning quote form

A base visit price built from rooms and bathrooms, then a frequency discount that turns a one-off quote into a recurring booking. Best for domestic and small-office cleaners.

Landscaping quote form

Area × surface rate, adjusted by clearance and scope, with irrigation and waste priced as real line items. Best when the garden size is known but the design is not.

Auto detailing quote form

A package price multiplied by vehicle size and condition, with add-ons and a mobile call-out fee. Best for studios and mobile detailers who need the bay reserved for the right number of hours.

Wedding photography quote form

A core coverage price plus hourly extensions, then second shooter, album and travel. Best when couples compare three photographers on the same evening and need a number they can trust.

Catering quote form

A per-guest menu price plus the service style, then staff, equipment and travel. Best when an organiser is comparing three caterers for one date and needs a total they can put in a budget.

Med spa quote form

A treatment price plus area, package and preparation fees, with a screening step that routes unsuitable enquiries to a consultation instead of a checkout.

Accounting quote form

A monthly bookkeeping base plus per-employee payroll, quarterly VAT and a year-end fee, with a catch-up charge when the records are behind.

Tattoo quote form

A session-length price plus size, placement, style and colour, with a deposit taken at quote time and a cover-up branch that requires photos before pricing.
